About the Role

We are looking for a Senior Record Retriever to join our team and help ensure medical records and billing documentation are retrieved accurately, efficiently, and within established timelines.

The Senior Record Retriever is responsible for managing aging, overdue, and complex record requests, conducting proactive follow-ups with providers, resolving retrieval challenges, following escalation protocol and ensuring all activity is properly documented.

This is a fast-paced role that requires strong organization, persistence, attention to detail, and excellent communication skills.

What You’ll Do

  • Manage and prioritize medical record and billing requests, with a strong focus on aging and overdue cases. (55+)
  • Conduct timely and proactive follow-ups with medical providers, facilities, and records departments.
  • Research and identify the appropriate methods and contacts needed to obtain difficult or delayed records.
  • Resolve rejected, incomplete, or complex requests by following established protocols and escalation procedures.
  • Maintain accurate and detailed case notes and documentation.
  • Review and properly organize records received through portals, email, and other retrieval methods.
  • Ensure all required documentation is included when submitting and following up on requests.
  • Protect confidential patient and client information and follow all applicable privacy and company requirements.
  • Collaborate with Team Leads and internal teams to resolve issues and keep requests moving forward.
  • Meet established productivity, quality, follow-up, and aging expectations.

  • Strong problem-solving and critical-thinking skills.
  • Ability to work independently while contributing effectively to a team.
  • Comfortable learning and working with multiple computer systems and provider portals.
  • High level of professionalism when handling confidential and sensitive information.
